P&L & Balance Sheet

Business P&L Structure

The Business P&L follows a standard operating statement:

  1. Revenue → Total Revenue (including Refunds as contra revenue)
  2. Cost of Goods Sold → Total COGS
  3. Gross Profit / Gross Margin
  4. Operating Expenses (Sales & Marketing + Software & Tech + Labor & Contractors + General & Admin)
  5. Operating Income / Operating Margin
  6. Non-Operating lines (Interest Expense/Income, Taxes)
  7. Net Income / Net Income Margin

COGS sits above Gross Profit; operating expense groups sit above Operating Income. Excluded from P&L categories do not appear in these totals.

Monthly / Quarterly / Annual and YTD

Choose Monthly, Quarterly, or Annual views on the P&L page.

Annual YTD ends at the last fully completed calendar month in the selected year (not the in-progress month). Column headers show a subline such as Jan–May under 2026 YTD. Quarterly columns use full calendar quarters (for example Apr–Jun for Q2).

Prior Year Compare

Business P&L compare options include Prior Month / Quarter / Year (and Budget when budgeting is enabled). **Prior Year** means the same calendar period one year earlier — not a rolling six-month average. Dashboard increase/reduction widgets use the same Prior Year definition.

Transaction Drill-down

Click a category amount in the selected period column to open a transaction-level breakdown for that line and period. Use this to verify categorization, spot miscoded platform fees, or jump back to Transactions for edits.

Balance Sheet Overview

Open Balance Sheet (BS) for an as-of snapshot of Assets, Liabilities, and Equity.

Synced lines roll up linked account balances (cash, investments, credit cards, loans). Manual Other Assets / Other Liabilities capture items not linked via Plaid (for example inventory or payables). Owner’s Equity is the plug that balances the statement.

Period rules follow the as-of month you select; in-progress months use the product’s as-of labeling on the page.

Custom Balance Sheet Lines

Add custom Balance Sheet lines when you need named asset, liability, or equity rows beyond the defaults. Edit amounts for manual lines; values can carry forward to later months until you change them. Use custom lines sparingly so the statement stays comparable month to month.

Exporting P&L and Balance Sheet

From the P&L or Balance Sheet page, use Export to download XLSX or PDF for your CPA or records. Choose the period granularity that matches what you are sharing (monthly, quarterly, or annual).

Exports respect your display currency. Large or frequent exports may be rate-limited — wait a moment and retry if prompted.

Send P&L Email

In Settings → Email Settings, use Send P&L to email a Business P&L for a selected report type and period. Confirm the recipient address in the send modal before sending.

This is meant for sharing operating results with a co-founder or CPA without downloading a file first. You can still export XLSX/PDF from the P&L page when you need an attachment.
